ADJUDICATION OVERVIEW

Welcome to the WATCH adjudication process. Adjudication begins in January of each calendar year. Each member organization will appoint at its own discretion five adjudicators who have expertise in production and/or technical theater. Adjudicators will be assigned productions using an electronic matrix to guarantee random adjudication assignments. Each eligible production will be seen by a total of 10 adjudicators. Each adjudicator will be assigned a total of 9-10 productions to view and score during the calendar year. Adjudicators’ scores will be mailed directly to and tabulated by an independent accounting firm.

Adjudicators will use a numeric scale from 1 to 10 (ten is the highest). Two non-numeric scores will accommodate ‘non-scores’ for characters or elements in a production: N/I = Not Identifiable (performance categories only) and N/A = Not Applicable (production categories only). All performers identified by a named character in the program will be scored. Characters not able to be scored will be scored N/I (Not Identifiable). Example: A performer may not be identifiable in a chorus or crowd scene although listed as a named character. Production elements not able to be judged or not found in a production will be scored "N/A" (not applicable). Example: Stage combat, Music Direction, Choreography or Special Effects may not be present in all productions.

A total of twenty-five Awards will be given for Outstanding Achievement in March of the year following adjudication. Eight Performance Awards: lead actor, lead actress (each for play & musical); featured actor, featured actress (each for play & musical). Seven Overall Awards: Production (each for play & musical); Direction (each for play & musical); Musical Direction; Stage Combat; Choreography. Ten Technical Design Awards (plays and musicals combined): Set Design; Lighting Design; Sound Design; Costumes; Set Construction; Set Painting; Set Decoration/Dressing; Properties; Makeup/Hair; Special Effects.

THE WATCH MISSION

The Washington Area Theatre Community Honors (WATCH) is an organization founded for the adjudication and presentation of annual awards recognizing artistic and technical excellence in community theatre throughout the metropolitan Washington, D.C. area, and that these honors will:

Foster and encourage the growth of community theater
Promote and enhance the image of community theater
Educate and inform the general public about the theatrical opportunities provided by the member theaters.

KEY POINTS

  1. You will view each production as a stand-alone production, rated according to the merits of that individual piece and not compared to/with other past/current productions of the same piece and/or other productions being scored by you as an adjudicator.
  2. Your personal likes/dislikes should not affect scores. An adjudicator’s scoring will be fair and unbiased (without regard to an individual theater group, cast member(s), crew and/or script) AND based upon the WATCH criteria.
  3. Numeric scores will be kept in confidence. Adjudicators should maintain an appropriate level of discretion in discussing their personal opinions about the shows they have scored.
  4. Please promptly complete and send in the balloting envelope for one production prior to scoring the next. Adjudicators are encouraged to mail ballots within two days of having seen a performance. Adjudicators will be contacted if ballots are not received 10 days from the close of that production.
  5. You will not score a show in which you are participating in any way (acting, designing, tech, etc.). Should the random matrix assign you to score a show in which you are participating, you will make arrangements for an alternate to score that production. Be sure to notify your WATCH representative who will notify the Adjudication Coordinator. The random matrix is designed that you should not be scoring any production at your "home" (sponsoring) theater. Please note, adjudicators who serve as board members for another WATCH theater should make arrangements for alternates to score any productions produced by that group as well.
  6. You should immediately contact your WATCH Representative who will contact the Adjudication Coordinator regarding any changes in your schedules, or your inability to complete your year’s tenure as an adjudicator.
  7. Please do not make reservations to view a show on closing night. Productions should be adjudicated prior to the closing night show performance to allow time to schedule an alternate should that become necessary.

ADJUDICATOR CHECKLIST

  1. Attend Adjudicator Orientation Training. Your WATCH Representative will provide training schedule.
  2. Review your Adjudicator Package to familiarize yourself with current judging and scoring criteria and information.
  3. Review Adjudication Schedule to identify groups you have been randomly assigned to score.
  4. Check your Adjudicator Package to ensure you have all required materials: Adjudication Schedule, Ballots, Stamped Return Envelopes, Criteria, a season flyer/show info for each group you are viewing, plus reservation numbers and directions or maps for each group. Contact your Watch Representative if you do not have all the required materials.
  5. Plan ahead. Make reservations for each show you are scoring. (Popular shows in smaller houses may sell out - don’t let this prevent you from seeing the show on the night you expect to view.) When calling, be sure to identify yourself as a Watch adjudicator when you give your name.
  6. Do Not reserve a seat for the closing night performance of a show you are scoring - that way an alternate date exists if necessary.
  7. You will receive only one comp for yourself. Additional comps are at the discretion of the individual member theater group.
  8. Complete one ballot for each production and mail in provided envelope within two days of adjudication. (Keep a copy for yourself.)
  9. Promptly contact your Watch Representative with any changes to your adjudication schedule, conflicts or questions you may have during the course of your adjudication year.
